“I'm up a tree all day, then it's quotes, council checks and chipper bookings until gone ten.”
Arborist software and systems for small tree firms. Less paperwork after a day up a tree.
Surveys that turn into quotes, council checks that aren't forgotten, and a crew diary that updates itself, so the firm can run a day without you.
I'm Daniel Andrews. I run a two-office law firm in East Sussex, and I built the systems behind it. Now I help tree surgeons who climb alone or with a small crew keep the office side moving while they're up a tree.
A typical evening, after a day in the canopy
- 6pmPhotos off the phoneForty site photos from three surveys, none of them labelled
- 7pmThree quotes to write upA crown reduction, a fell and a hedge, each needing a clear scope
- 8pmIs that oak protected?Hunting for the council's order map before you price the job
- 9pmCrew and chipper for ThursdayWho's free, is the grinder booked, can the ground crew start early
- 10pmBed, still owed for last month's fell“I'll pay on the day” was three weeks ago
Safe on the ropes, losing the battle with the office
The climbing is what you trained for. Nobody trained you for the office.
“Sundays go on turning survey notes and photos into quotes that nobody chases.”
“The kids ask why I'm on the laptop when I've been out since seven.”
“A job cancels the night before and the crew and chipper are already booked.”
“I'm never quite sure the six weeks are up on that conservation area notice.”

A crew and a chipper, and still everything waits for you
You set up on your own to climb, pick your jobs and answer to nobody. Now the crew waits on you for the plan, customers wait for quotes, and council paperwork waits for your evenings.
Take a week off and the diary stops. However good the crew, you've built a job, not a business.
Let's build one that runs without you. See where the time goes, put the repeat work on systems, and spend the hours you win back on the business. For a tree firm, that means survey, quote, council check, booking and invoice in a set order, written down so a foreman or an office helper can pick it up. It's the idea behind every trade page on this site, and landscape gardeners face a similar juggle.
What should arborist software do for a small tree surgery firm?
It should carry a job from first call to paid invoice. That means site surveys with photos per tree, quotes with a clear scope, a record of tree preservation order and conservation area checks, crew and chipper scheduling, risk assessments on the phone, and invoices with reminders. Tree surgery software that skips the council step isn't finished.
| Job | How it often works now | Set up properly |
|---|---|---|
| Enquiries | Calls missed while you're climbing. | A form asks for the address and photos of the tree. The caller gets a reply the same day. |
| Surveys and quotes | Notes in a book, photos in the camera roll, quote typed at night. | A phone survey ties photos to each tree. A draft scope and quote is ready to check that evening. |
| Protected tree check | Remembered, or not, before quoting. | Every new address prompts a TPO and conservation area check, saved with the job. |
| Council notices | Dates kept in your head. | The date notice was given is logged. A reminder fires when the waiting period ends. |
| Crew and kit | Group texts the night before. | One diary for climbers, ground crew, chipper and grinder. A change messages everyone affected. |
| Invoices and repeat work | Paper invoice, then silence. | Sign-off sends the invoice, and reminders stop when it's paid. A follow-up visit is offered when regrowth is due. |
What is a tree preservation order, and what does it mean for a tree surgeon?
A tree preservation order is made by the local planning authority to protect particular trees, groups or woodlands for their amenity value. Cutting down, topping, lopping, uprooting or wilfully damaging a protected tree needs the council's written consent, unless an exception applies. GOV.UK guidance says cutting roots needs consent too.
Applications go on the standard form from the Planning Portal or the council, with a plan showing the trees and a clear description of the work. The owner usually applies, or a contractor acting as their agent. If there's no decision within 8 weeks, the applicant can appeal, and consent normally lasts 2 years.
Conservation areas and dead trees
A tree in a conservation area without an order still needs a section 211 notice to the council 6 weeks before felling, topping, lopping or uprooting it, unless an exception applies. No notice is needed if the trunk, or every stem of a multi-stemmed tree, is 75 millimetres across or less at 1.5 metres above ground. If the council lets the 6 weeks pass, the work can go ahead within 2 years of the notice.
A dead protected tree needs 5 working days' written notice before work, unless the tree poses an immediate risk of serious harm and the work is urgent. Dead branches on a living tree can come off without notice.
Wildlife, chainsaws and waste
Wildlife law applies even where an exception does. Under the Wildlife and Countryside Act 1981, it's an offence to intentionally take, damage or destroy a wild bird's nest while it's in use or being built. GOV.UK lists removing branches from a mature tree as work that can harm bats, and both sets of offences can mean an unlimited fine and up to 6 months in prison.
HSE says anyone using a chainsaw on or in a tree should be trained and hold a certificate of competence or national competence award, unless training under supervision. It advises against working alone with a chainsaw; where you must, have a way to raise the alarm, such as a check that you're back by an agreed time. Taking brash, chip and timber away means registering as a waste carrier with the Environment Agency.
- A protected-tree check on every enquiry, with the council's reply saved to the job.
- Notice and application dates logged, with a reminder when the waiting period ends.
- A nesting birds and bats question on the survey form, with photos, before a job is booked.
- A lone-working check-in: if a job isn't marked done by the agreed time, someone gets a text.
Please note: this is general information from official sources, not legal advice. Automated reminders support your own checks; they don't replace them. For a specific tree, ask the council, a qualified arboriculturist or a solicitor.

Book a free 30-minute callWhat I'd set up first for a tree surgeon
In the order the money flows, because nothing earns until a survey becomes an accepted quote.
Survey to quote in one sitting
A phone form for each tree: species, work, access and photos. It drafts the scope and quote for you to check, so Tuesday's survey is Tuesday night's quote.
The council check, built in
Every job records whether the tree is under an order or in a conservation area, and when any notice went in. It can't be booked until that's filled in.
One diary for crew and kit
Climbers, ground crew, chipper, grinder and any hired platform in one place. When a job moves, everyone affected hears about it.
Invoice at the kerb
Sign-off on the phone sends the invoice, with reminders that stop once paid. Loads of arisings are logged against the job at the same time.
How do I choose tree surgery software?
Look for the tree-specific parts first: surveys with photos per tree, quotes written in terms customers understand, risk assessments on site, and scheduling for people and equipment together. Then the basics. It needs to run on a phone with poor signal, link to your accounting software for Making Tax Digital, and let you take your data if you leave.
- Per-tree records: species, position on a simple site plan, work agreed and photos.
- A place to record order and conservation area checks, notices and consents.
Examples, not recommendations: Arb Pro and ArboStar are built for tree work and say they serve UK firms, and Joblogic offers a tree service version of its UK job management system. Nobody pays me to mention them, and sometimes a simpler set-up does the job.
Why a law firm Managing Partner?
Tree work waits on permissions, and so does a lot of legal work. At my firm, I built task hand-offs with approvals and one-click sign-off, so nothing moves until the right person says so. The same idea stops a fell being booked before a notice period is over.
The firm didn't always run like that. For years I put in 60 to 70 hours a week, often until 2am. Putting the firm on systems changed that, and it's now four to five times the size it was when I started.
This consultancy is new, so no tree surgeon has been a client yet. I'm a dad of two and coach a football team, so I know what a free evening is worth to a family. There's more about me on the About page, and my business automation page covers the tools.

How do I find out if a tree has a tree preservation order?
Ask the local planning authority. Confirmed orders are available for public inspection and recorded in the local land charges register, and councils are expected to answer enquiries about protected trees.
What happens if a protected tree is felled without consent?
It's a criminal offence, and serious cases can bring an unlimited fine. The landowner normally has to plant a replacement tree of a suitable size and species as soon as they reasonably can, and the council can enforce that with a notice.
Can AI write my tree work quotes?
It can draft them from your survey notes and photos, in plain words the customer understands. You still check the work described and set the price. I'd never set it up to send a quote without you seeing it first.
Do you work with tree surgeons across East Sussex?
Yes. From my base in Eastbourne I work across the county, including Hastings, Battle, Uckfield and Crowborough, as well as Brighton, West Sussex and over the Kent border. We can meet at your yard or talk by video.
