Plenty of boards up, but the agency is still just you

You went independent to run an agency your way. In practice, valuations and viewings take the daylight and most Saturdays, and offers, updates and chasing take the evenings.

A fair test: if you took a fortnight off in spring, would sales still progress and landlords still hear from you? If either answer is no, you've built a job, not a business.

What should AI for estate agents do for a small agency?

It should take the repetitive writing and chasing off you. That means drafting vendor and landlord updates from viewing feedback, putting each offer in writing for the seller, chasing every link in the chain, and flagging lettings dates such as deposits and safety checks. You approve anything that goes to a client.

What rules shape an estate and letting agent's paperwork?

GOV.UK says estate agents dealing with residential property in the UK must join an approved redress scheme, as must letting agents and property managers in England and Wales. Agency businesses in scope must register with HMRC for anti-money laundering supervision. Lettings add deposits, Right to Rent checks and safety certificates.

The approved schemes are The Property Ombudsman and the Property Redress Scheme, and not joining risks a fine of up to £5,000. The Estate Agents Act 1979 requires agents to tell clients their fee, and when it's payable, before the client signs up. Under a 1991 order, failing to pass offers to the seller promptly and in writing is an undesirable practice. National Trading Standards enforces the Act.

Letting agents come into HMRC's scope where a single rent is 10,000 euros or more a month. HMRC's guidance says estate agents treat the buyer as a customer for customer due diligence once the seller accepts their offer, and keep records for at least five years after the relationship ends.

Material information in listings

Under the Digital Markets, Competition and Consumers Act 2024, leaving out material information the average buyer needs to decide can be a misleading omission. National Trading Standards began material information work with the portals in 2022: price or rent, council tax band and, for sales, tenure. In June 2026 the government announced sales packs at the point of listing and a Code of Practice for agents.

The Renters' Rights Act 2025

The Act received Royal Assent on 27 October 2025. From 1 May 2026, for private tenancies in England, section 21 ended, most tenancies became periodic, rental bidding was banned and rent in advance was capped at one month. GOV.UK lists a missing written statement of terms by 31 May 2026 among breaches with penalties of up to £7,000.

  • An accepted offer opens the buyer's ID and anti-money laundering checklist, and listing drafts are checked against your material information list.
  • Rental adverts go out from a template with one asking rent, and replies never invite a higher bid.

ID documents and references are personal data, so UK GDPR applies to any AI tool that touches them; start with the ICO's guidance on AI and data protection. My rule for photos: AI can describe a room, but shouldn't change how it looks.

How do I choose AI tools for estate agents?

Start with the agency software you already use, because moving records is a big job. Ask where client data is stored, whether it trains anyone's models, whether a person approves every message to a client, and whether you can export everything. Then test it on last month's sales.

  • Works inside your agency CRM, so offers, chain milestones and updates share one record.
  • Says plainly where ID documents are stored and who can see them, and lets you export everything.

As examples, not recommendations: Alto, Reapit and Street all describe AI features for UK agents on their own websites. No software company pays me, and often the quickest win is connecting what you already pay for through business automation.

Why a law firm Managing Partner?

I know the late finishes too. I spent years on 60 to 70-hour weeks, often still working at 2am. Putting the firm on systems is what changed that, and it's now four to five times the size it was when I started. Viewings eat Saturdays, and as a football coach and a dad of two, I know what a free weekend is worth.

Can AI value a property?

It can gather comparables and sold prices quickly, so the valuation pack takes minutes rather than an evening. The figure you give a seller should stay your professional judgement, because you know the street and you're accountable for the advice.

What does AI for letting agents look like day to day?

Mostly dates and messages. Start packs, deposit deadlines, Right to Rent follow-ups, safety renewals and rent review letters run on schedule, and repair reports are sorted by urgency. You step in where judgement is needed.

Is AI for estate agents in the UK safe with ID documents?

It can be, with the right set-up. Use business versions of tools with clear data terms, limit who can open ID and AML files, and keep due diligence records in your own system rather than a chat window.
