When every floor waits for you, you've built a job

Going solo was supposed to mean fitting floors properly, choosing your customers and keeping your own hours. Instead, the day goes on your knees and the evening goes on sums, suppliers and rebooking. Flooring adds a twist: floors go down near the end of a project, so any delay from the trades before you moves your dates too. If nothing is priced, ordered or rebooked unless you sit down and do it, you've built a job, not a business.

I've been there, in an office rather than on my knees. For years I worked 60 to 70 hours a week, often until 2am. Putting the firm on systems changed that, and it's now four to five times the size it was when I started.

The answer was a system: see where the time goes, put the repeat work on systems, and spend the hours you win back on the business. In a flooring business, that means measurements become quotes, deliveries are tracked, fitting dates move without an evening of calls, and every subfloor check is recorded. With your way of fitting written down, a second fitter could work to your standard. The bigger picture is on my overview for self-employed trades.

What should flooring business software handle for a small fitting firm?

It should take room measurements and produce a quote with your waste allowance built in, for supply-and-fit or fit-only work. It should track orders and deliveries, allow for acclimatisation, and keep subfloor and moisture records with photos. Then it should invoice homeowners and trade customers correctly and ask for a review.

Which rules and records matter for a flooring fitter?

Three come up often. HMRC excludes carpet fitting from the Construction Industry Scheme, but fitting vinyl, linoleum or laminate can be in it when it finishes off construction work. Where fitting is part of a supply contract, an incorrect installation means the goods don't match the contract. And HSE's manual handling guidance covers carpet rolls, underlay and boards.

HMRC's CIS 340 guide lists fitting floor coverings such as vinyl, linoleum and laminated wooden flooring among the finishing operations it includes. Finishing work is judged as part of the whole job, so the same fit done on its own may fall outside. Carpet fitting is excluded under Statement of Practice 12 (1981), unless it's part of a mixed contract, when the whole contract comes within the scheme. So if you fit for builders or developers, your records need to tell those jobs apart.

Under section 15 of the Consumer Rights Act 2015, where installation is part of the contract, goods the trader installs incorrectly don't conform to it. For fit-only work, section 49 treats reasonable care and skill as a term of every service contract. Either way, dated photos of the subfloor, the reading and the finished floor are what you'll want if the fit is ever questioned.

Rolls, boards and your back

HSE's guide to reducing manual handling risks in carpet retail sets out the order under the Manual Handling Operations Regulations 1992. Avoid hazardous handling where reasonably practicable, assess what can't be avoided, then reduce the risk. It says the same applies to underlay, vinyl, and wood and laminate flooring. Knowing about stairs, parking and access before fit day lets you plan a two-person carry.

  • An access question on every measure-up: stairs, parking, lifts and furniture to move.
  • Fit days released only once the stock has arrived and had time to acclimatise.
  • Subfloor photos and moisture readings saved to the job before the first cut.
  • Carpet-only jobs and CIS jobs labelled separately, so your accountant isn't guessing.

What I'd set up first for a flooring fitter

These four close the gap between measuring a room and being paid for it.

    Room sizes go in on site, your allowance and rates apply, and the price is sent before you've packed the laser measure away.

  2. Deliveries that set the date

    Every order is tracked. The fit day is only confirmed once the stock is in and has had time to settle.

  3. A subfloor record on every job

    A short checklist with photos and readings, saved before the first cut and there if a question comes up months later.

  4. Sign-off, then the invoice

    The customer signs on your phone and the invoice goes straight out. Shops and landlords get their own format and references.

How do I choose flooring estimating software?

Check it quotes by area with your own waste allowances, handles supply-and-fit and fit-only prices, and can plan cuts from a roll for carpet and sheet vinyl. Then check it books fits around deliveries, runs on a phone, feeds your accounting software and exports your data cleanly.

  • Area quotes that add underlay, gripper and trims for you.
  • Separate prices for supply-and-fit, fit-only and trade work.
  • Connected to your bookkeeping. The first wave of Making Tax Digital for Income Tax, from 6 April 2026, covers sole traders whose qualifying income for the 2024 to 2025 tax year passed £50,000. Your accountant can tell you when you join.
  • A clean export, so your customer history goes with you.

Questions from flooring fitters

How much waste should I allow on a flooring quote?

It depends on the room shape, the product and any pattern. Straight boards in a square room waste less than a patterned carpet on a landing. Keep your own allowance per product, check it against what you used, and let the software apply it.

Is carpet fitting covered by CIS?

HMRC excludes carpet fitting from the scheme. Vinyl, linoleum and laminate are different, because they can come within it as finishing work. If carpet is part of a mixed contract, the whole contract comes within it. Ask your accountant how that applies to the work you do for builders.

What should I check before fitting over a new screed?

That it's dry enough for the product. Take a reading with a suitable meter, follow the flooring manufacturer's instructions and photograph the result. If the floor isn't ready, a system can text the customer a new date.

Can flooring software plan my cuts from a roll?

Some specialist tools can. If most of your work is carpet and sheet vinyl, look for roll planning. If it's mostly boards and tiles, deliveries and scheduling may matter more.
